This policy explains how Politeknik 'Aisyiyah Batam collects, uses, and protects the personal data of Admissions applicants. By submitting the registration form, you agree to the terms of this policy.

Data we collect

We only collect the data required for the Admissions selection process, namely:

  • Identity and contact details: full name, date of birth, WhatsApp number, email, and address.
  • Education details: previous school, field of study, and year of graduation.
  • Supporting documents: passport photo, identity card, family card, diploma or certificate of graduation, and other documents as required.
  • Additional details: chosen study programme and where you heard about the admissions.

Purpose of data use

Your personal data is used to:

  • Process and verify registration and Admissions selection.
  • Contact you regarding your registration status via WhatsApp or email.
  • Prepare academic administration records if you are accepted.
  • Fulfil reporting obligations in accordance with applicable regulations.

We do not use your data for marketing purposes outside of Admissions activities without separate consent.

Legal basis and consent

Data collection and processing are carried out based on your consent and in accordance with Law Number 27 of 2022 on Personal Data Protection. You may withdraw your consent at any time by contacting us, with the understanding that this may affect the continuation of your registration process.

Access and confidentiality

Your data and documents can only be accessed by the Admissions committee and authorised staff, and every officer is obliged to maintain confidentiality. We do not sell or share your personal data with any other party, unless required by law.

Storage and retention

Documents and personal data are stored on a secure storage system with restricted access. Data is retained for the duration of the Admissions process and for a reasonable period for administrative purposes, then deleted or anonymised once it is no longer needed.

Data security

We apply reasonable security measures to protect data from unauthorised access, alteration, or disclosure. Nevertheless, no system is entirely free of risk, so we encourage you to help safeguard the confidentiality of your own personal data.

Your rights

In accordance with applicable regulations, you have the right to:

  • Know and access the personal data we hold.
  • Request the correction of inaccurate data.
  • Request the deletion of data that is no longer needed.
  • Withdraw your consent to data processing.

Such requests can be submitted through the campus's official contact details and will be processed within a reasonable time.
